Project Coordinator II/Estimator/Planner

Responsible for coordinating all clients’, National Account Manager and Key Account Manager requests for quotation based on specifications provided. Assist in training project team members as required.

Estimating all requests for quotations for assigned accounts and assisting with the completion of other requests as required or directed. All Estimates are to be processed as per the established guidelines and or as directed by the Operations Director. Plan all projects as per approved estimates and established guidelines.

Provide recommendations of various products or production methods that meet the project requirements, process formal proposals for client approval, process and or assign order processing duties to assigned Customer Service personnel.

Process Estimates, Job Planning and Customer Service functions for all Vomela Specialty Co various business units as required.

Estimate, Coordinate and plan projects with total sales volumes of $200,000.00 or more; Assigned to accounts with annual sales volumes of $3,000,000.00 or more.


Project Coordinator II/Estimator/Planner – Participate in Project Coordination, Estimating, job planning and Customer Service Functions which include the following:

1 Process request for quotes and proposals on behalf of sales personnel and assigned clients. Ensure all requests are processed in a timely manner based on client’s requirements.

2 Prepare estimates as per client specification and per Vomela Specialty Co established guidelines.

3 Prepare proper documentation to produce client orders to specifications: including product specifications, pricing, delivery schedules, quantities, and other items as outlined by other departments.

4 Schedule production meetings with department managers to review all projects with a total order value of $25,000.00 or more.

5 Plan projects according to approved proposals and Vomela Specialty Co manufacturing guidelines and coordinate material availability to meet project requirements.

6 Maintain a working knowledge of all Vomela Specialty Co manufacturing methods and stay abreast of industry advancements.

7 Work closely with clients on delivery schedules, product specifications, and all concerns relating to their orders.

8 Properly communicate client requirements to all related departments.

9 Monitor client orders, implement change orders and communicate any potential issues to clients, sales personnel and related production departments. Manage project costs to ensure budgets are maintained and review project cost upon completion of projects and compare overall cost to agreed upon budgets. Adjust sales dollar amount as needed based on client driven modification. Communicate additional production cost to client and ensure client purchase orders are updated based on project changes.

10 Process client complaints as they relate to the Visual Merchandising Customer Service group. Insure all issues are resolved and processed in a timely manner and appropriate costs are passed on when applicable.

11 Work closely with clients in determining product requirements.

12 Analyze and make recommendations for improving plant processes where appropriate.

13 Communicate effectively verbally and written as required to aid in production planning or to avoid potential errors.

14 Work closely with other departments in developing and maintaining accurate records for production, planning, scheduling, inventory control, and other related items.

15 Generate and monitor daily, weekly and monthly order reports and inventory reports. Distribute all reports to the Customer Service Department as needed.

16 May perform reasonably similar or related duties as required to meet customer expectations.
